Job Description
A non-profit organization is seeking an Executive Assistant who will provide high-level support for the President and executive management including heavy calendar management and successful coordination of meetings. In addition, they serve as contact between the President, the board of directors, and other departments within organization. Work hours are Monday through Friday from 8:30 a.m. to 5 p.m.
Responsibilities:
Oversee and manage the President & CEO’s schedule and meetings, interact with staff, board members, and assistants, and confirm meetings, appointments, and community-related events
Supervise housekeeping of office facilities, purchase office supplies, furniture, office equipment, etc.
Coordinate communications, take calls, respond to emails, interface with students and colleagues, and ensure professional and timely responses to all parties
Educate and communicate company personnel policies and procedures to newly hired and current employees
Reconcile monthly credit card statements, check requests, reimbursements, code invoices, and handle all Accounts Payable and Receivable functions on a weekly basis
Handle newly hired employees, employee handbook overview, employment documents, and benefit enrollment
Create and maintain complete and confidential files on each employee, process, verify, and maintain documents relating to most personnel activities
Coordinate ongoing office projects, assist with special events planning, professional development meetings, and participate in and support special events and fund raising activities
Use various software applications to create and update spreadsheets, relational databases, and reports
Provide back-up receptionist duties and perform other duties as assigned
Job Requirements
Qualifications:
Associates Degree required; Bachelor’s Degree preferred
Must have at least 3 years experience in an administrative setting, supporting a leadership role
Must be proficient in Google Suite platforms, including email, calendars, and worksheets
Must have excellent interpersonal and communication, writing, proofreading, and editing skills
Good time management and multi-tasking skills, with the ability to work well independently and in a team environment
Must possess a high level of discretion and confidentiality while being able to pay a high attention to detail
Must be capable of providing services in a professional and courteous fashion
Ability to converse and convey information to all levels of the organization professionally
Exercising administrative judgment, assuming responsibility for decisions, consequences, and results, impacting staff, costs, and/or quality of service within the functional area is required
