Star Moving, established 9 years ago, offers quality services to customers by assisting them with international relocations of personal belongings and baggage. They handle import and export services, as well as door-to-door delivery of excess baggage.
Full Time Project Administrator
Salary $75000 + Superannuation
Duties and Responsibilities
Import Services Coordination:
• Oversee the planning and execution of import activities, ensuring timely and efficient delivery.
• Coordinate with import staff to arrange delivery options, transport, and storage facilities.
• Manage customs and quarantine regulations, ensuring compliance and smooth clearance.
• Handle import documentation, including motor vehicle import paperwork.
Export Services Management:
• Facilitate export operations by advising clients on packing options, specialized wrapping, and transport logistics.
• Coordinate with export staff to arrange storage facilities, insurance options, and uplift/delivery dates.
• Ensure compliance with customs and quarantine regulations and manage export documentation.
Excess Baggage Services Administration:
• Oversee the logistics of excess baggage services, ensuring competitive rates and timely delivery.
• Utilize advanced tracking services to monitor door-to-door deliveries and provide updates to clients.
• Address client inquiries and resolve issues related to excess baggage services.
Project Coordination and Management:
• Assist in planning, executing, and finalizing projects according to strict deadlines and within budget.
• Collaborate with stakeholders to meet project goals.
• Documentation and Compliance:
• Manage and maintain project documentation, including contracts, import/export documents, and service agreements.
• Ensure compliance with all relevant regulations and internal policies.
Task Management and Monitoring:
• Monitor daily tasks and functions related to import/export operations and excess baggage services.
• Oversee work by contractors, ensuring adherence to work orders and reporting any variations.
Issue Resolution and Client Support:
• Address inquiries and resolve problems related to contracts, programs, projects, and services.
• Act as a point of contact for clients, providing updates and addressing concerns promptly.
Reporting and Data Analysis:
• Prepare and review submissions and reports regarding the organization’s activities.
• Collect and analyse project-related data, providing detailed reports on project outcomes and performance.
Administrative Support:
• Provide administrative support to senior management, advising on matters requiring attention and implementing decisions.
• Manage the paperwork associated with contracts, programs, projects, and services provided by the company.
Continuous Improvement:
• Identify opportunities for process improvements to enhance efficiency and service quality.
• Stay updated with industry trends and best practices, applying relevant knowledge to improve project management processes.
Qualification and Experience
• Minimum 5 years’ experience in a similar role
• Strong organisational skills and ability to manage own time effectively
• Strong ability to manage time effectively and comply with all internal and external deadlines to develop and maintain key supplier and client relationships
• Ability to build rapport quickly and gain strong relationships
• Excellent communication skills both written and verbal
• Knowledge of accounting, data and administrative management practices
• Proficient computer skills
• Attention to detail and the ability to problem solve
• Positive attitude and approachable demeanour
• Strong communication capability and articulation
